Privacy and Confidentiality of Client Records
Grosvenor Financial Services is the guardian of
a great deal of confidential personal information regarding our
clients and pertaining to their private financial and business affairs.
Grosvenor and its clients place the highest importance
on the protection of that information and the preservation of confidences.
To that end Grosvenor adheres to the National Privacy
Principles (NPP) introduced in December 2001. Indeed most of our
policy in this area preceded the NPP.
Here is the basis of our policies regarding the
collection and use of client information:
- Grosvenor does not retain
information that is not necessary for our functions or activities.
None of that to which we are privy is ever used or divulged in
any way other than in carrying out your instructions to us.
- We only use information for the purpose for
which it was collected
- When it is reasonable and practicable to do
so, we try to collect personal information about an individual
only from that individual, as the NPP suggests.
- We take reasonable steps to make sure the personal
information we collect, use, or disclose is accurate, complete,
and up-to-date.
- Regarding security, Grosvenor complies
with the NPP that requires that an organization take reasonable
steps to protect the personal information it holds from misuse
and loss and from unauthorized access, modification or disclosure.
- Further we take reasonable steps to destroy
or permanently de-identify personal information if it is no longer
needed for any purpose for which the information may be used or
disclosed under the NPP.
- Should you wish to know, we would be glad to
outline the sort of personal information held, for what purposes,
and how this is collected, held, used and disclosed.
- You can notify us about any additional restrictions
you might want regarding personal and financial information; for
example not to have matters faxed to your given numbers without
first notifying you (in order to avoid undue risk of exposure
of information).
- We will not share your personal information
with persons or entities outside Grosvenor Financial Services
unless you authorise or instruct us to do so. An exception to
this is where Grosvenor Financial Services maybe required by law
to disclose certain information.
- If a client wants access to any information
about them, kept by Grosvenor, they can have that access provided
that it does not have an unreasonable impact upon the privacy
of other individuals and subject to the other NPP exceptions.
We do not make any charge for such access despite the legislative
provision to do so.
- If you believe that any information that we
hold about you is inaccurate or out of date, please alert us and
we will review the relevant information.
- Because of the nature of our service and lawful
and practical aspects we often have to identify clients involved
in transactions with other organizations.
If at any time you believe that Grosvenor has not
adhered to this policy or if you have any other comments, please
inform us in writing.
